A meeting is an assembly of people for social or business purposes sharing a common focus.

Conferences

Conferences are a more formal gathering where more planning is required. After many years helping customers organise their conferences, Select Hire is excellent at giving the helping hand as needed. 

We hire an extensive range of chairs, tables, conference cloths, staging, podiums, room dividers, pillars, ropes and more. 

We offer a delivery and collection service to your venue and can help with the setup of furniture if required. Select Hire can advise on room layout and appropriate numbers of people that can fit comfortably into the required setup. We stay in touch every step of the way from your initial order through to your event date and subsequent return of equipment.

Popular Room Layouts

Theatre Style

Rows of chairs are set up, or they are permanently fixed in the room, so that they all face the front of the room. Often there is a dividing line up the center and/or sides of the chairs which functions as an aisle.

All conference attendees are facing the front of the room with a comfortable view of the speaker and presentation. Speaker can be elevated on a stage or podium and seating is tiered to the back to ensure a clear view for all.

This setting is best for:

  • Seating as many participants as possible in one room
  • Where minimal note taking is required
  • Presentations of 2 hours or less
  • Large groups making the best use of space

Classroom Style

Rows of tables are lined up with chairs on one side all facing the front of the room.

It is possible to set up a table at the front of the room which would be ideal for a panel discussion.

Great for training and presentations as everyone is facing the front of the room with a clear view of the speaker/presentation.

This setting is best for:

  • Informative sessions where there is some dialogue between the presenter and audience
  • Where attendees require their own table and ample workspace

U Shaped Style

Conference tables are placed end to end in the formation of a U. Chairs are placed around the outside of the table.

This setup is often used for meetings or discussion groups where there is a speaker, audio-visual presentation or other focal point.

This layout combines the intimacy of boardroom set up with a clear view to the front of the room.

This setting is best for:

  • Presentations with audiences of 25 people or less
  • Where there is a speaker, audio-visual presentation or other focal point
  • Ideal for small groups requiring a presentation and discussion forum

Conference Style

Can be set up either as several rows of tables or as a single conference table. This all depends on the number of participants.

The conference style setting is perfect for interactive sessions where there is a good amount of workspace for each person and good communication/visual lines for the participants.

This setting is best for:

  • Perfect for interactive sessions
  • Where attendees required a good amount of workspace
  • Ideal when communication between participants is required

Banquet Style

A banquet setup is usually used for events that include seated dining. This banquet style setup places participants at long rows of tables placed parallel and with the option of having a table for presenters of a panel at the front of the room.

Participants can hear and see the presenter but have primary focus on fellow participants at their own table. Attention is on both the entertainment (which can be seen from all seats) and on what is happening at their own table.

This setting is best for:

  • For large conferences and events with a final dinner or show
  • Attention is needed on a focal point and also interaction with other attendees at a table

Banquet Round Style

This type of setup is generally used for food functions and is made up of standard round tables which seat 8-12 people.

Banquet style setup allows for lively conversation and interaction amongst participants and breaks a large audience into smaller groups.

This setting is best for:

  • Typically suited to food functions
  • Lively interaction between participants
  • Breaking a large audience into smaller groups
